I work for a Process Management Department of a mid size bank in USA. My Department's main task is to document (VISIO based Process Maps and Detailed Procedures) work processes for various business units in the bank. The documentation is currently stored on a shared network drive but the bank is looking for a formal repository with version control, check- in/check-out, etc. The request for a project comes from individual business units or senior management. The project duration is generally short term - 4 to 20 weeks.

I am looking for a suitable Methodology to manage the project and also the software tool for managing a project and provide repository for document storage.

I would appreciate suggestions.

Does your documentation process has a defined scope (say, x y and z business units) or is a continuous process to apply to every new project? If there's no scope defined (i.e. it's a continuous process), it's not a proper project per se and therefore I can't see how we could apply a PM methodology over it... (although there are plenty of tools that could ease this job, but that's completely another story). – Tiago Cardoso Jan 17 at 18:08

Welcome Deepak! As CodeGnome said, this is very broad. It sounds like you are looking for a check list of steps to take for this kind of project. Is this an accurate characterization of your question? If so, what have you tried and what has or hasn't worked? – Mark Phillips Jan 17 at 18:40
The background you give implies that your company regularly runs projects. Could you edit your question to clarify what methodologies/software are currently used by your company and why you feel that they do not meet the needs of your current project? – Doug B Jan 17 at 19:14

For repository I suggest Atlassian's CONFLUENCE plus GLIFFY for diagramming.

For methodology I would start with this one

Basically I would start to walk away from a diagram-centered (Visio) approach and adopt a more textual-based approach to describe processes.
